Executive Board
President:
The President of the PTA plays a vital leadership role by coordinating the work of the executive board and committees. Responsibilities include presiding over meetings, ensuring quorum, confirming the presence of the Secretary, and appointing temporary replacements as needed. The President votes only to break or make a tie or in ballot votes.
The President appoints committee chairs (with board approval), sign contracts and bank documents, and are listed as the principal officer authorized to sign tax documents unless restricted by employment terms. To ensure fiscal accountability, the President appoints a non-signer to review account statements and the financial reconciliation committee. They also serve as an ex-officio member of all committees, except Nominating and Financial Reconciliation Committees.
VP of Programs:
The VP of Programs is the First Vice President. The VP of Programs plays a vital role in planning and executing enriching activities and events that support the mission of the PTA and enhance the educational experience for students and families. This leadership position collaborates with the PTA Executive Board, school staff, and volunteers to deliver meaningful programs throughout the school year. The VP of Programs will also preside in the absence of the President.
The VP of Programs is one of the most rewarding but also most time-consuming roles on the PTA Executive Board. This position is responsible for overseeing all PTA programs and events such as Art Reflections, Fall Festival, Family Events, Field Day, Spring Festival, and Field Day (see descriptions under Committee Chairs below).
VP of Fundraising
The VP of Fundraising is the second Vice President and oversees all fundraising efforts to support PTA programs and events. This role involves planning and coordinating fundraising activities, managing fundraising committees, and collaborating with the Executive Board to meet financial goals. Key responsibilities include organizing major fundraisers, securing sponsorships, and ensuring compliance with PTA policies. Strong organizational and communication skills are essential for success in this role.
VP of Volunteers:
The VP of Volunteering is the third Vice President. The VP of Volunteering recruits, coordinates, and manages volunteers to support PTA programs, events, and school needs. This role involves organizing volunteer sign-ups, maintaining communication with volunteers, and ensuring all activities are adequately staffed. The VP of Volunteering serves as a liaison between the PTA, school staff, and volunteers, promoting engagement and fostering a strong sense of community. Strong organizational and interpersonal skills are key to success in this role.
Secretary:
The Secretary ensures smooth operations of the PTA by managing essential records and correspondence. Key duties of the Secretary include sending meeting notices, recording meeting minutes, and maintaining PTA documents, such as bylaws, records retention policies, and signed agreements. The Secretary also preserve PTA historical documents.
Treasurer:
The Treasurer manages all financial aspects of the PTA, including custody of funds, maintaining accurate financial records, and ensuring compliance with PTA and tax policies. Responsibilities include presenting financial reports at meetings, making disbursements in line with the approved budget, and preparing the annual budget and financial report. The Treasurer files and ensures acceptance of the IRS Form 990 and other tax documents, maintains records per the retention policy, and provides books for the financial reconciliation committee. This role requires strong organizational and financial management skills.
Parliamentarian:
The Parliamentarian ensures meetings and decision-making follow Robert’s Rules of Order and the PTA’s bylaws. They advise the president and board on proper procedures, oversee elections, clarify voting processes, and assist with bylaw compliance and updates. Additionally, they help resolve procedural conflicts and may provide training on parliamentary practices. While they do not vote or make motions, their role is essential in maintaining order and fairness in PTA operations.

Art Reflections Lead: The Art Reflections Chair organizes and oversees the PTA Art Reflections Program. Fall Fest Lead: The Fall Festival Chair leads the Fall Fest Committee in planning and organizing SBE's annual Fall Festival. Responsibilities include coordinating activities, securing vendors, securing volunteers, managing logistics, and ensuring a fun, successful event for students and families. This role is perfect for someone with strong organizational skills and a passion for community and event planning.

Family Events Lead: The Family Events Chair is responsible for organizing and executing a variety of family-centered events at SBE, such as Pre-K/Kinder Welcome Breakfast, Grandparent's Day Luncheon, Veteran's Day celebration, Bring Your Parents to Lunch Day, and more. This role involves coordinating logistics, securing volunteers, and ensuring these events foster a strong sense of community and engagement among families.

Field Day Lead: The Field Day Chair works closely with the school coach to plan and coordinate all aspects of Field Day, ensuring a fun and organized event for students. Responsibilities include organizing activities, securing volunteers, and overseeing event logistics to create an enjoyable experience for all participants.

Fifth Grade Activities Lead: The Fifth Grade Activities Chair is responsible for organizing special events and activities for the graduating fifth-grade class, including end-of-year celebrations and memorable experiences. This role involves coordinating with the PTA and school staff, managing volunteers, and ensuring that fifth-grade students have a memorable final year at SBE.

Multicultural Festival Lead: The Multicultural Festival Lead oversees the Multicultural Festival Committee in planning and organizing SBE's annual Multicultural Fest. Responsibilities include coordinating event activities, managing volunteers, and ensuring the event runs smoothly.
FUNDRAISING

Booster Bengal Donation Drive Lead: The Bengal Booster Donation Drive Chair coordinates the annual SBE Bengal Booster Donation Drive that occurs every fall semester. Responsibilities include planning the fundraiser, managing communications with donors, organizing volunteers, and creating incentives for both students and teachers to encourage participation. The Chair ensures the event successfully supports the PTA’s goals and initiatives.

Merchandising Lead: The Merchandising (or Spirit Wear) Chair is responsible for procuring, managing, and selling PTA merchandise, such as spirit shirts and other school-related items. This role involves coordinating sales events, tracking inventory, and ensuring merchandise is available to support school spirit and PTA fundraising efforts. The Merchandising Chair is also responsible for creating new spirit item designs to refresh inventory as needed.

Spirit Night Lead: The Spirit Night Chair is responsible for organizing and setting up PTA Spirit Nights at local businesses. This role includes coordinating with venues, promoting the events to families, and ensuring the nights run smoothly to raise funds and foster school spirit.

Sponsorship Lead: The Sponsorship Chair is responsible for securing corporate and event sponsorships, as well as managing in-kind donations to support SBE PTA. This role involves recruiting sponsors for the Friday Folder, ensuring all sponsorship commitments are fulfilled, and maintaining strong relationships with sponsors throughout the year.

Dad's Club Lead: The Dad's Club Chair is responsible for coordinating all activities and events related to the Dads Club. The goal of the Dads Club is to encourage greater participation from dads and father figures, creating a welcoming community where they can come together to support our kids and school.
- Hospitality Lead: The Hospitality Chair is responsible for organizing events to show appreciation for teachers and staff, including Teacher Appreciation Week and stocking the teacher snack carts monthly. This role involves coordinating gratitude activities and ensuring teachers and staff feel valued throughout the year.

Membership Lead: The Membership Chair is responsible for recruiting new PTA members, managing membership files, and maintaining clear communication with members. This role involves promoting the benefits of PTA membership, organizing membership drives, and ensuring members are informed and engaged throughout the school year.

Sunshine Chair Lead: The Sunshine Chair fosters a positive and supportive environment within the PTA by recognizing and celebrating special occasions, milestones, and contributions of teachers, staff, and volunteers. Responsibilities may include coordinating appreciation efforts, sending cards or small gifts for birthdays, illnesses, or significant life events, and spreading encouragement throughout the school community. This role helps strengthen relationships and boost morale by ensuring that kindness and gratitude are consistently shared.

Volunteer Coordinator (PK-2nd Grade) | Volunteer Coordinator (3rd-5th Grade): SBE PTA has a lower grade and a upper grade Volunteer Coordinator who will coordinate with Room Parents to organize the Winter Party, Valentine's Day Party, various classroom needs and serves as a liaison between Room Parents and the PTA. This role is responsible for answering any Room Parent questions regarding PTA activities, ensuring smooth communication and successful event planning for grade-level celebrations.
COMMUNICATIONS

Social Media Lead: The Social Media Chair will manage and enhance SBE PTA’s social media presence. This includes creating and scheduling posts, promoting events and creating the monthly newsletter. The role helps keep the school community informed and engaged through various digital platforms (Facebook Groups, Instagram, Stories, WhatsApp, Newsletters, Emails, etc.).

Website Lead: The Website Chair is responsible for managing and updating the SBE PTA website. This includes ensuring content is current, relevant, and accessible, and making updates to reflect PTA events, news, and important information for the school community.
- Yearbook Lead: The Yearbook Chair oversees the creation and production of the SBE PTA yearbook, including managing yearbook sales. This role involves coordinating with parent photographers to capture students and parents at PTA events, gathering content from the school staff, and working with the art teacher to organize the yearbook cover contest. The Chair ensures the yearbook captures key school events and memories for students and families.
